4 Reasons to Proofread Emails

Emails are easier than writing a letter but carry the same weight as their more formal counterparts when it comes to getting the messages to patients or people within the organization.  Before you click “send” check your work with the 4 tips below:

  1.       Don’t put your message in the subject line.  Often this is done in error and haste.  The subject line is to be a couple of words only.  The message text goes in the message box area.
  2.      Don’t mark an email urgent when it is not.  Like the boy who cried wolf, you do this a few times and when it is urgent no one will read it.   Use a special coding number that signifies importance such as A1 to A3 if you want to communicate level of importance with colleagues.
  3.      Emojis and emoticons are cute and fun but not for professional emails.   Use them in text messages only.
  4.      Bad grammar and poor spelling signify laziness, haste and lack of caring.  Not the impression you are hoping to make with the boss or anyone for that matter.   Do I really have to explane this?  See what I mean!

Communication by email is important and must be treated so by the sender.  The quickest way to lose credibility is to email in haste without proofreading your work.
